Working alongside the Project Managers, the Shipping Coordinator will be responsible for assisting with managing high volume accounts, client communication, estimating, shuttle scheduling, booking, project managing and invoicing.
The Shipping Coordinator will assist with ensuring that projects are completed on time, within the predefined scope and within the agreed upon budget. Projects will be tailored to the specific needs of each client as TPK services auction houses, galleries, and private clients.
The Shipping Coordinator will work with other members of the TPK team (Operations Manager, Crating Manager, etc.) to ensure that all aspects of a project are efficiently completed.
Responsibilities
Communicating with vendors, industry partners, and other TPK branches to request quotes and confirm bookings
Generating BOLs, crating orders, packing lists,and invoices, and making sure that all completed paperwork is properly documented and archived.
Processing and logging in new inventory for client’s storage accounts, ensuring inventory lists are updated accurately and in a timely manner.
Reaching out to clients to coordinate scheduling for collections, deliveries, installations, etc. and confirming that all details of an upcoming project are correct.
Working together with other members of the TPK team to ensure that all aspects of a project are efficiently completed
Performing other duties as assigned by the Senior Project Manager in an orderly and efficient manner
Requirements
Strong written and oral communication skills
Knowledge of macOS
Familiarity with Google Workspace/Microsoft Suite (particularly Excel/Google Sheets)
Excellent multitasking and problem-solving skills with great attention to detail
Ability to work under pressure in a fast paced and expanding environment
Knowledge of gallery, museum and auction house practices preferred.
Prior experience with domestic and international shipping preferred.
Available to work in an office environment full-time.
