The Registrar oversees the preservation and documentation of the permanent collection, manages incoming and outgoing loans, and coordinates all aspects of traveling exhibitions. This role manages comprehensive collections management activities, including inventory, storage, packing, transport, environmental monitoring, disaster preparedness, condition reporting, records and rights management, photography, policy development, and issue resolution across storage and exhibition spaces.
Collections Care
Oversees all aspects of collections care in alignment with AAM Collections Stewardship and Core Standards.
Develops and maintains SOPs and forms related to registration and collections management.
Manages acquisition processing and deaccessioning procedures.
Leads Integrated Pest Management, conducting routine inspections of galleries and storage areas.
Exhibitions & Loans
Collaborates cross-functionally to plan and execute 12–15 exhibitions/installations per season.
Manages 50–70 incoming/outgoing loans and all traveling exhibitions annually, encompassing approx. 600 objects.
Prepares loan agreements and exhibition contracts using standardized templates.
Oversees object handling and installation, serving as the primary onsite representative to ensure lender requirements are met.
Photography, Rights & Reproductions
Creates and maintains image credits and citations in collaboration with marketing.
Secures image rights and copyright permissions for exhibitions, publications, and internal use.
Manages all reproduction requests for works in the permanent collection.
Collections Management System (TMS Collections)
Serves as onsite database administrator, managing licenses, system updates, and vendor coordination.
Maintains accurate records across all object, loan, exhibition, and constituent categories.
Trains staff on TMS and coordinates ongoing training with Gallery Systems.
Interdepartmental Communication
Supervises the Assistant Registrar.
Maintains the museum calendar and ensures timely updates on departmental activities.
Responds to public inquiries regarding the permanent collection.
Collaborates with internal teams to support exhibition reporting and evaluation processes.
Education/Experience
Bachelor’s degree in museum studies, fine art, art history, history or other relevant discipline with experience in administrative work, object handling and database knowledge essential.
