Production Administration

• Build and manage an end-to-end timeline for projects to support all LAND team members and collaborators

• Utilize project management software (Asana) to track tasks and ensure team accountability

• Develop a process to create project budget projections and track project actuals in Quickbooks for projects and programs, including providing recommendations on cost savings

• Develop and maintain systems for invoice tracking and reconciliation in collaboration with LAND’s bookkeeper and accountant, including supporting the annual audit process

• Draft contracts and procure insurance for projects and programs

Production Logistics

• Create on-site management plan and communicate with an installation and production contractors

• Negotiate contracts and any commission agreements as needed

• Have a deep understanding of the logistics of art shipping and installation; Liaise with institutions and artists on deinstall, shipping and registration needs to get work returned to artist studio

• Research fabricators, vendors, engineers, insurance coverage and more with the artists

• Manage on-site logistics, troubleshooting any disruptive issues.

• This role will require regular lifting 50 lbs of materials and equipment

Relationship management

• Build and maintain strong relationships with artists, their studios, presenting partners and contractors, serving as a bridge between all collaborators

• Ensure all stakeholders have what they need from LAND to work effectively on the project

• Conduct ongoing check ins with individuals and larger team to ensure open lines of communication, timely progress, and clear expectations

• Support artists, partner organizations, and curators with community engagement efforts and programming needs

Who You Are

• You have 5+ years of experience with art production including executing public art projects

• You’ve built effective relationships with artists and vendors. If you need an additional skill set to support a project you know how to find it and bring them in

• People who know you well rave about your organizational skills and ability to manage multiple projects for multiple stakeholders without missing a beat

• You operate with the expectation that projects don’t always go as planned and are able to problem solve, think creatively, and shift gears to ensure a project isn’t derailed

• You thrive in working within a highly collaborative small team environment where members are trusted to manage their responsibilities autonomously in support of a shared goal

• You resonate with LAND’s mission and embody our organizational values in your professional life

• You’re able to use software effectively to support your project work. Microsoft Office, GSuite, Adobe Creative Suite, CAD, Airtable, and Asana experience preferred

• You have a current driver’s license and a clean driving record

Additional Requirements

• LAND has an office space in Jefferson Park that the team typically works from Tuesday-Thursday, with Monday and Friday remote. This position involves regular in-person on-site responsibilities including occasional evening and weekend commitments with the ability to transport production materials in a personal vehicle or rental truck as required.
