Assist the Director of Operations and support the day-to-day activities of the studio, as well as personally for the Principal. This position is based out of the artist’s studio and is integrated with the studio’s staff. Ideal candidates will possess a balance of professionalism, discretion, positive attitude, resourcefulness, and flexibility. Previous experience as an administrative assistant, and experience in a creative field are required.
Operations Assistant

Administrative Responsibilities:
Assist the Director of Operations and Principal with daily studio functions, including but not limited to:
Assist the Director with maintaining the studio’s operations calendar, integrating professional and personal obligations. Includes day-to-day scheduling, and long-term scheduling based around projects, exhibitions, travel, and holidays.
Oversee general studio email account
Coordinate with Director of Operations all lectures, talks, donations, writing requests of the Principal including processing associated paperwork, preparing and sending needed materials in a timely manner, and ensuring the Principal meetings the related deadlines
Ensure office organization: maintain orderly content surplus of office supplies, cleaning supplies, office snacks, and beverages for studio visits
General studio administration
Booking travel and compiling itineraries
Filing & data entry: upkeep organized and up to date digital and physical files
Run errands for the studio and personal, as needed
Assist the Director with planning and hosting studio events
Work collaboratively and coordinate with studio staff as needed
Facilities Responsibilities:
Assist the Director of Operations with the care, maintenance, and improvement of the studio building, appliances/equipment, and grounds, including but not limited to:
Upkeep and maintenance of studio properties and facilities
Oversee the care and maintenance of the studio building and grounds
Maintain systems for regular maintenance at the studio building, appliances, and equipment
Track and support long term goals and improvements for studio facilities and infrastructural systems
Suggest improvements to studio’s systems and implement the changes
Work with established studio vendors and contractors while also building new relationships
Schedule and supervise repairs and outside contract workers
Areas of responsibility include Fire and security, IT and phone, alarm systems, studio-wide data-management systems, supply and equipment storage, emergency protocol systems, general building maintenance, improvements and repairs (mechanical, electrical, plumbing, roofing, etc), fencing and gates, waste disposal, and utilities
Qualifications and Requirements:
Bachelor’s degree preferred
At least two years of relevant experience
Highly-organized, detail-oriented, and self-directed problem-solver—but receptive to direction—in a deadline-driven environment
Must value collaboration and work well with a diverse team
Sensitive to privacy and confidentiality concerns
Personable and outgoing personality for managing events and guests
Proficient in Microsoft Office and Google Drive
Experience with Adobe Creative Suite (Photoshop, Illustrator, InDesign, Bridge) is appreciated
Spanish language is a plus
Ability to legally work in the US
Physical Demands:
Must be able to sit and stand for extended periods of time
Must be able to work in a studio environment with cement floors
Ability to lift 30+ lbs, unassisted, if necessary
Other Position Information:
Compensation is commensurate with experience, ranging from $30.95 - $40.86/hour
Full-Time, 35 hours a week, 5 days a week
Studio hours are Monday – Friday, 9am – 7pm; candidate must be open to working outside of normal business hours for special events
Reports directly to Director of Operations
Not a remote position, studio is located in Los Angeles, CA; special events may require offsite work
